Job Description

The Operations Manager at Coastal Kids Dental and Braces - West Ashley is accountable for achieving financial targets and fostering revenue growth while overseeing the day-to-day operations of the practice and ensuring exceptional patient satisfaction. This role involves establishing efficient systems and processes to enhance patient retention, case acceptance, employee and provider engagement, and financial performance. By providing crucial support across all operational areas, including administrative functions for both the front and back office, the Operations Manager plays a pivotal role in fulfilling the company's mission of promoting lifelong oral health for children.

This position operates Monday to Friday from 8 am to 5 pm.

EDUCATION/CREDENTIALS:

  • Bachelor's Degree in Business or related field; Master's degree preferred or equivalent work experience.

JOB RELATED EXPERIENCE:

  • Minimum of 5 years of progressive leadership experience in practice management.
  • Excellent communication, problem-solving, and leadership skills.
  • Coursework or on-the-job training in dentistry, business, or related fields.
  • Strong healthcare and customer service management skills are advantageous.
  • Experience in team leadership, mentoring, and coaching.

WORKING CONDITIONS/PHYSICAL DEMANDS:

MAJOR DUTIES AND RESPONSIBILITIES:

  • Manage office staff, providing problem-solving, decision-making, planning, delegation, and conflict resolution as needed.
  • Foster a positive office culture.
  • Collaborate with Regional Dental Officer (RDO) and Human Resources for staff selection and orientation.
  • Evaluate staff performance and conduct regular staff meetings.
  • Facilitate complaint resolution and staff concerns.
  • Oversee onboarding and training of new employees.
  • Implement office policies to achieve performance goals.
  • Exceed annual Net Promoter Score (NPS) targets through action plans.
  • Provide necessary information to support compliance and revenue cycle activities.
  • Act as liaison between the practice and other departments.
  • Ensure timely reporting of safety incidents and compliance with regulations.
  • Monitor and maintain up-to-date certifications and licenses for staff.
  • Complete all mandatory company modules and job-specific training.
