POSITION SUMMARY DESCRIPTION

We are looking for a Construction Project Assistant who can leverage the time of all members of the project teams (Superintendent, Assistant Project Manager, Project Manager, and Senior Project Manager) with the administrative, basic accounting, and document organization that is required for the successful and efficient procuring and execution of multiple construction projects. In addition, specific corporate duties will be assigned (with the associated training) and periodically rotated to others within the organization.

CORE RESPONSIBILITIES

Project Administration

  • Creation, organization, maintenance and distribution of:
  • Weekly progress reports
  • Drawing index
  • Insurance, Workmans Compensation certificates, Safety Policy for project vendors
  • Maintain subcontractor compliance documentation
  • Operation and Maintenance (O&M) manuals
  • As-built drawings
  • Prepare completed projects for dead storage (purge files)
  • Identification and notification of potential bidders
  • Assist in proposal creation and preparation
  • Creation of meeting notes
  • Scheduling of project team daily calendar
  • Outlook schedules and contact lists of all project team members

Project Accounting

  • Uploading estimates into Viewpoint
  • Viewpoint inquiries and reporting
  • Assist in processing invoices
  • Update forecasting
  • Creation of Client billings
  • Aged Receivable follow-up
  • Creation of subcontracts and purchase orders

POSITION QUALIFICATIONS

High School diploma with an emphasis on accounting and a proficient working knowledge of Word, Excel spreadsheet, PowerPoint software, Adobe Acrobat or Bluebeam. Experience with the construction industry is desired.

ATTENDANCE

Regular attendance is required during normal working hours. Work beyond 40 hours per week may be needed.
